Yoga Retreat Terms and conditions 

1. Booking and Payment A reservation is confirmed only upon receipt of a non-refundable deposit of £400 or full payment. The £400 deposit represents administrative, planning and reservation costs incurred by the organiser in securing your place on the retreat and is therefore non-refundable. The remaining balance must be paid no later than 120 days/4 months (8th February 2027) before the retreat start date. Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of the £400 deposit. 2. Pricing All prices are quoted in £ Sterling (GBP) and include only those services specifically listed in the retreat description. Any additional costs, including travel, insurance, visas, personal expenses and optional activities, are the responsibility of the participant unless otherwise stated. Once a booking has been confirmed, the retreat price will not change. 3. Cancellation Policy Participant Cancellation If you need to cancel your booking, written notice must be provided by email. The £400 deposit is non-refundable. The following cancellation terms apply to the remaining retreat fee: More than 120 days before the retreat start date: Full refund of all monies paid, excluding the non-refundable £400 deposit. Between 61 and 120 days before the retreat start date: 50% refund of the remaining retreat fee paid, excluding the non-refundable £400 deposit. 60 days or fewer before the retreat start date: No refund. Participants may transfer their booking to a replacement participant nominated by them, subject to the organiser's prior written approval. If a participant cancels their booking, the organiser will make reasonable efforts to fill the vacated place. Where the organiser successfully fills the place, the cancelling participant will receive a refund of any monies paid, less the non-refundable £400 deposit and any reasonable administrative costs incurred. Organiser Cancellation In the unlikely event that the retreat is cancelled by the organiser due to insufficient bookings, unforeseen circumstances or force majeure, participants will receive a full refund of payments made directly to the organiser. The organiser shall not be responsible for any additional expenses incurred, including flights, transportation, travel insurance or accommodation booked independently. 4. Travel Insurance Participants are strongly encouraged to obtain comprehensive travel insurance covering cancellation, medical expenses, personal injury, loss of belongings and travel disruption. 5. Health and Medical Conditions Participants are responsible for ensuring that they are physically and mentally fit to attend the retreat and participate in yoga classes and related activities. Any medical conditions, injuries, allergies or health concerns that may affect participation must be disclosed before the retreat begins. The organiser reserves the right to refuse participation in any activity where it is reasonably believed that participation may pose a risk to the participant or others. 6. Assumption of Risk Participation in yoga classes, workshops, excursions and other retreat activities is voluntary and undertaken at the participant's own risk. Participants acknowledge that yoga and physical activities involve inherent risks, including the possibility of injury. 7. Liability Waiver To the fullest extent permitted by law, the organiser, teachers, staff and venue shall not be liable for any injury, illness, loss, damage, delay or expense arising from participation in the retreat, except where caused by negligence or where liability cannot legally be excluded. Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under applicable law. Participants are responsible for their own personal belongings at all times. 8. Accommodation and Shared Spaces Participants agree to respect the retreat venue, staff, local community and fellow guests. The organiser reserves the right to remove any participant whose behaviour is disruptive, abusive, unsafe or inappropriate without refund. Any damage caused to the retreat venue, its furnishings, fixtures, equipment or property by a participant, whether wilfully or through negligence, shall be the responsibility of that participant. The organiser reserves the right to recover the reasonable cost of repair or replacement directly from the participant. 9. Photography and Media Photographs and videos may be taken during the retreat for promotional purposes. By attending, participants consent to the use of such images unless they notify the organiser in writing before the retreat begins. This will be minimal and agreed in advance. Participants are kindly requested not to take photographs, videos or audio recordings during yoga sessions in order to respect the privacy and comfort of all attendees. 10. Force Majeure The organiser shall not be liable for any delay, change or cancellation resulting from circumstances beyond their reasonable control, including but not limited to natural disasters, pandemics, government restrictions, strikes, transportation disruptions, acts of terrorism or other force majeure events. 11. Changes to the Retreat The organiser reserves the right to make reasonable changes to the retreat schedule, teachers, activities or accommodation where necessary. 12. Retreat Information and Participant Requirements Health Declaration and Waiver Participants are responsible for ensuring that they are physically and mentally fit to participate in the retreat and all associated activities. Any injuries, medical conditions, health concerns, allergies, or other circumstances that may affect participation must be disclosed to the organiser at the time of booking or as soon as reasonably practicable thereafter. All participants will be required to complete and sign a Health Declaration and Liability Waiver prior to the commencement of the retreat. Failure to provide accurate and complete information may result in participation being restricted or refused without refund where necessary for the safety and wellbeing of the participant or others. Dietary Requirements Any dietary requirements, food allergies, intolerances or preferences must be disclosed at the time of booking. Whilst every reasonable effort will be made to accommodate dietary requirements, the organiser cannot guarantee that all requests can be met. The retreat is held in a vegetarian, plant-based setting, and all meals provided during the retreat will be vegetarian and plant-based. Flights and Travel Arrangements Participants are responsible for arranging and paying for their own flights and travel to and from Faro Airport. The organiser may provide recommended flight options and suggested arrival and departure times to assist participants with their travel planning. Such recommendations are provided for guidance only, and participants remain solely responsible for booking and managing their own travel arrangements. The organiser accepts no responsibility for flight delays, cancellations, missed connections, airline schedule changes or any costs incurred as a result of travel disruptions. Airport Transfers Shared airport transfers to and from the retreat venue are included from Faro Airport and will be arranged based on the recommended arrival and departure times communicated by the organiser prior to the retreat. Participants arriving outside the recommended transfer times, arriving at an alternative airport or location, or requesting a private transfer will be responsible for arranging and funding their own transportation to and from the retreat venue. The organiser accepts no responsibility for missed transfers resulting from flight delays, cancellations or changes to travel arrangements. Accommodation and Room Sharing Accommodation is provided on a shared-room basis unless otherwise specified. Participants travelling alone will be allocated a roommate by the organiser. Whilst every effort will be made to ensure suitable room allocations, specific roommate requests cannot be guaranteed. Participants wishing to share a room with a friend, partner or another attendee must notify the organiser at the time of booking. Room-sharing requests received after booking may not be accommodated. The organiser reserves the right to make changes to room allocations where necessary for operational reasons. Check-In and Check-Out Check-in at the retreat venue is from 3:00 pm on the arrival date. Check-out is by 11:00 am on the departure date. Participants arriving before the designated check-in time or departing after check-out may not have access to accommodation or retreat facilities unless otherwise agreed in advance. Optional Activities and Excursions This retreat has been designed as a restorative and relaxing experience centred around the retreat venue and its facilities. Participants who choose to arrange additional activities, excursions, sightseeing trips, beach visits or travel outside the retreat programme do so at their own discretion and expense. The organiser is not responsible for arranging, supervising or covering the cost of any activities not expressly included within the retreat itinerary. 13. Governing Law These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. By making a booking, participants confirm that they have read, understood and agreed to these Terms and Conditions.
